About the Role

We’re looking for a Finance & Operations Coordinator to manage and execute our core administrative and financial processes. This is a hands-on role focused on ensuring that daily operations run smoothly, from accounting and payroll coordination to office and HR administration.

You’ll report directly to the CEO to support the company’s operational needs. This role is essential to maintaining structure and reliability as the company grows.

Work conditions:

Permanent contract

Location: Although we are a remote-first company based in France, we do maintain an office in Paris (14e). As part of your responsibilities, you will be expected to manage the office environment and operations, which requires on-site presence at least once a week..

Key Responsibilities

Accounting & Financial Admin (40%)

  • Coordinate day-to-day accounting and bookkeeping with our external provider

  • Monitor accounts receivable and payable

  • Prepare and submit accounting documentation (invoices, receipts, reports)

  • Support monthly closing and reporting processes

  • Ensure proper archiving of financial documents

Cash & Expense Monitoring (20%)

  • Monitor cash flow and ensure timely payments

  • Process employee expenses via Spendesk

  • Track supplier invoices and support budget follow-up

Expense Control (10%)

  • Implement cost-control and budgeting processes

  • Ensure spending aligns with departmental and company-wide budgets

HR Administration & Payroll (20%)

  • Maintain accurate employee records and documentation (contracts, amendments, leave, etc.)

  • Coordinate payroll preparation and liaise with the payroll provider

  • Track absences, leaves, and time off in HRIS

  • Assist in onboarding/offboarding processes (admin & operational tasks)

  • Act as point of contact for administrative HR questions from employees

Office Management (10%)

  • Oversee general office operations (suppliers, equipment, deliveries, etc.)

  • Coordinate office supplies and ensure a functional and pleasant work environment

    Manage service providers (cleaning, IT, security, etc.)

  • Support onboarding logistics (equipment, access, workspace setup)

Profil recherché

What We're Looking For

  • 2 - 5 years of experience in a Finance Position

  • Knowledge of budgeting and reporting processes

  • Strong organizational skills and attention to detail

  • Comfortable handling several tools and platforms

  • Reliable, discreet, and proactive

  • Fluent in French, and fluent in English (written/oral)
